Identify the product precisely
Use the catalogue item code where one exists. If the request is new, describe the surface, construction, size, material and intended use. Attach a reference image or drawing only as supporting information; the written specification remains the control document.
State quantity and destination
Write target quantity per item and colour, destination country, delivery term and target launch date. The destination market affects packing marks, documents and testing questions.
Describe the retail pack
State piece count, sleeve, bag, colour box, card, barcode space, language, importer block and artwork status. If the packaging is not decided, say so rather than letting the supplier assume a format.
Ask for the answer you need
Request unit price basis, MOQ, sample timing, production lead time, carton size, gross weight, 40HQ quantity, payment terms and inspection options. Ask the supplier to repeat the item code in every reply.
A specification you can send today
Send the item code or construction, material, size, colour, pack, target quantity and destination market. Ask the supplier to repeat these fields in the quotation and sample record. This keeps the commercial conversation tied to the product that will actually be produced.
